How to Set Up Capsule Easily (Step by Step)
Getting started with Capsule is quite simple and straightforward – simply follow our step-by-step guide.
Note: Before getting started, make sure you have an active Capsule plan (either free or paid).
Step #1: Add Contacts
The initial step is to add some contacts to your CRM dashboard. If you haven’t used any CRM before, you need to create some content from scratch.
If you have experience using CRMs in the past and your contact list is in a CSV file, you can upload it directly.
To add a contact, click on +Add New in the top menu bar and simply choose between person or organization.
If you have a CSV file, you can import it directly to Capsule with ease. Just navigate to People & Organizations > Import, then choose from vCard or CSV file.
From there, simply select the file, click on Upload & Preview and you’re done.
Step #2: Setting Up Tasks
Once you’re done adding contacts to your account, it’s time to set up a few tasks. Tasks could be added to remind you of phone calls, emails, or meetings. Also, find the record that you want to add the task.
You can add your tasks using the panel on the right-hand side. You can also categorize your tasks to make it easier to see what they relate to.
Step #3: Manage Sales Pipeline & Create First Sales Opportunity
Opportunities are one of the best ways to easily manage potential sales and keep track of all tasks that you need to complete for a particular potential client.
In order to create your first sales opportunity, click +Add New in the top menu bar and then choose Opportunity. Now, choose the contact for which the opportunity relates to and then set the different parameters.
Step #4: Use Tracks
If you’re one who often has the same tasks for all of your opportunities, then you should use the tracks feature.
Tracks are a series of predetermined tasks that you set up yourself. To create your track templates, navigate to templates by going to Account Settings > Tracks > Add Track.
You can start the track in either X days after the track was created, or X days after the previous tasks were completed.
Once you create a track, add it to any opportunity that you create. It will then automatically create individual tasks for each of these actions.
Step #5: Storing Emails
You can easily store your emails on your Capsule account. Doing this will provide you with a clear overview of your contact with clients.
In the Capsule dashboard, you can use the Capsule DropBox. This is an email address that you BCC or simply forward your emails to. It will then store the message against the contract in the email conversation.
To find the Capsule DropBox, you need to first click on your name in the top menu bar. Then, simply navigate to My Preference > Mail DropBox.
Step #6: Customize Your Account
Capsule’s CRM is fully customizable, allowing you to set up your own custom fields to easily record details that are specific to your business.
You can group your contacts by tagging them with different tags. To apply different tags, navigate to Account Setting > Tags and then click on the tag to edit it.
To remove it, you may use the delete link next to the tag to easily remove it permanently from your account.
Step #7: Integrating Capsule
If you want to use third-party services like G Suite, Mailchimp, or Zapier, you can set those up quickly with ease.
To integrate third-party services, navigate to Account Settings > Integrations and then click Configure next to the relevant service.
If you have followed the above steps carefully, you’ll have your account up and running. You should have your tasks set up, opportunities created, fields customized and emails stored.
