How to Get Started With Insightly (Step by Step)
Getting started with Insightly is straightforward. If you want to set up Insightly CRM from scratch, follow our step by step walkthrough.
Before getting started, make sure you have an active plan. You can sign up for the free plan or purchase any plan. All you need is an active plan.
Step #1: Set Your URL
First, log in to the Insightly dashboard using your login credentials. On the dashboard, jump to System Settings and customize your Insightly URL. Once you’re done click “Save”. You can also add your company/business logo there.
Step #2: Add Team Users & Set Permissions
Right before adding users to your account, you need to set up the user’s permissions. You can add two types of users:
- Standard: Users can view, edit, or delete records but they can’t access the system settings to add users, create fields and other actions.
- Administrators: Users can view all records and can change the system settings as well.
To add a user with permissions, navigate to System Settings > User List > Add User. Complete the relevant info about the user and once you add a user it will send an activation email. You can add the permissions to users under Security > Roles and set up the roles accordingly.
Step #3: Basic Configuration
In this step, you’ll do some basic configurations such as creating custom fields, connecting your email and adding app integrations.
Creating the custom fields:
To create custom files to accommodate your records, determine the custom field and create it. First, navigate to the System Settings in the top writing corner. Now click on the Objects and Fields and then choose your Object and click on Object Fields.
Click on New Field then choose the Field’s type. Follow the basic instructions to finish.
Connect your email:
Connecting your email accounts allows you to send messages from the Insightly dashboard. It works with major platforms such as Gmail, Outlook and SMTP like Microsoft Exchange.
To add your email account, open your profile page from the top right corner and click on User Settings. Now click on Email Accounts. From there, you can input all the required details and connect your email account to Insightly.
Step #4: Set up Sales Management
In this step, you will manage aspects such as leads, pipelines, opportunities and activity sets.
Creating a Sales Pipeline
To set up the pipeline, go to the System Settings then easily add a Pipeline name and click on Add Pipeline. If you have defined your sales process before, add the names to the stages of your Pipeline.
Now you need to set an activity. This allows you to add an automated set of tasks and events for stages.
To add an activity, navigate to the Pipeline tab and click on the Edit Stacks link which you want to edit. Now edit stages by selecting the activities from the menu.

Enable Lead Management
Leads can be defined as potential clients and contacts. To enable the Lead Management, navigate to System Settings, then click on the Lead Management and enable it from there. Since you have enabled Lead Management, you can add new leads individually.
Generally, opportunities are the records that appear in your pipeline. They show information like name, value, probability of winning, forecast close data and more.
To add Opportunities, click on the opportunities tab then select +Add New Opportunity. Now you need to enter the required info and follow the basic process to set it up.
Step #5: Add or Import Data
You have two options to add data to the CRM dashboard, one is to upload it in bulk and the other is to add data manually.
If you have used a CRM before, you should have a CSV file of contacts that can be imported directly to the Insightly CRM. Otherwise, you need to add it manually.
Note: If you have a few contacts, add them manually; otherwise, import the contact lists directly.
Import Contacts Using CSV file:
To start importing contacts, click on the Contacts link then click on the Import Contacts from a CSV File. Now select the file and click upload.
If you don’t have a CSV file to upload, choose other methods to add contacts to the Insightly CRM.
